Your information, plainly.

What we collect through weafire.com and our member app, why, who it goes to and how long we keep it. Last updated October 21, 2026.

Who we are

Wea Township Fire Department is the fire department for Wea Township in Tippecanoe County, Indiana. This policy covers our website, weafire.com, the member app our firefighters use (at weafire.com/m and in the “Wea Twp Fire Department” iPhone app), and the screens in our station. In an emergency, call 911. Nothing in this policy changes how 911 works.

If you visit the website

Visitor statistics. We use Cloudflare Web Analytics to count page views. It sets no cookies, doesn’t follow you to other sites and doesn’t tell us who you are. It runs only on the public pages.

Fonts. The site’s typefaces load from Google Fonts, so your browser contacts Google to fetch them, as it would on most websites.

Spam protection. The contact, request and press sign-up forms use Cloudflare Turnstile to tell people from bots. It checks your browser and network address with Cloudflare when you send the form.

Cookies. We don’t set cookies for visitors who don’t sign in. Members who sign in get a sign-in cookie, and the station screens keep one cookie that pairs each screen to the station.

If you send us something

Contact form: your name, email, phone if you give it, how you’d like us to reply, and your message.

Requests (car seat checks, smoke alarms, station tours, school classes, events and the rest): what you’re asking for, your name, organization if any, phone, email, preferred dates and any details.

Both go to our station inbox, where the members who answer the public can read and reply to them. We keep them so we can follow up and see what we’ve already handled, and delete them when they’re no longer needed. Replies are sent by email from our address, and your replies come back to the same conversation.

Press release emails: your email, and your name and outlet if you give them. We only add you after you confirm by email, unconfirmed sign-ups are removed after 7 days, and every release has an unsubscribe link.

Job and volunteer applications: your name, email, phone, your answers to the posting’s questions and any files you attach (such as a resume or certificates). All of it, files included, is stored encrypted. Only members whose role includes reviewing applications can open them, and every time someone does, it’s recorded. You can check where your application stands with its reference number. We keep applications as hiring records unless the department sets them to be deleted automatically a set time after a decision. Ask us if you’d like yours removed.

The forms also limit how often they can be sent from one place, to stop abuse. Those counters are cleared within a day.

Calls on our website

The homepage shows our most recent calls: the time, the type of call and the street. It never shows house numbers, names or any call details. We can remove any call from the list, and the list can be turned off.

Our members and the member app

The member app is for Wea Township firefighters and staff, by invitation only. Signed out, the iPhone app simply shows this public website. For members, it holds:

  • Your account: name, email and password, two-step sign-in and any passkeys you add. On a phone you stay signed in for 30 days so a call alert opens straight to the call; on a computer you’re signed out after 12 hours without use.
  • Roster details: rank, shift, unit, badge and dates of service, plus phone and personal email, which are encrypted and shown only to members whose role allows it. Every view or export of contact details is recorded.
  • Calls and responses: call information from our dispatch system, and the response you tap for each call. Call notes are encrypted and only visible to members whose role allows it.
  • Your location, only while responding. When you tap a responding button and have sharing on, your position is sent about every 15 seconds so the crew and the station screens can see how far out you are. In the iPhone app this carries on with the phone locked, and iOS shows the location indicator the whole time. It stops when you arrive, change or cancel your response, the call clears, or an hour passes. Arriving, changing or cancelling your response also clears your position from the call. You can turn sharing off in the app, and location off for the app in your phone’s settings.
  • Call alerts: if you turn them on, a device identifier from Apple or your browser so we can send alerts. Alerts show the call type and address on your lock screen. You can turn them off at any time.
  • Hours and staffing: clock-in and clock-out times, hours you add, and shift sign-ups and call-outs.
  • Access log: sign-ins, and who viewed or changed sensitive information such as applications, contact details, call notes and settings, with the network address used. Kept for two years.

The station screens show active calls, who is responding and how far out they are, the on-duty crew and the calendar. Call notes appear only on screens the department has chosen, and member locations are never shown on the station maps.

Who we share it with

We don’t sell or rent personal information, and we don’t share it for advertising. We use these services to run the site and the app, and each gets only what its job needs:

  • Cloudflare hosts the website, the app’s data and files, the visitor statistics and the spam protection, and receives replies to our emails.
  • Resend sends our emails (form receipts, replies, application updates, press releases, sign-in emails).
  • Apple and your browser’s push service deliver call alerts to members’ devices.
  • Mapbox draws the maps and works out drive times. When a member shares their location while responding, it’s sent to Mapbox to calculate their drive time.
  • Google serves the website’s fonts, and a street-level photo of a call’s location for the station screens (it receives the call’s location, not anyone’s identity).
  • Active911 passes us call information from dispatch.
  • The National Weather Service gives us the weather for the station’s location.
  • AI writing tools (through OpenRouter) help our staff draft press releases, posts and station-screen slides, and describe photos in our media library. Only providers that don’t keep or train on what they’re sent are used, and we don’t send applicants’ or members’ personal information to them.

We may also share information when the law requires it, to respond to an emergency, or with other public-safety agencies we work alongside.

Public records

As a public agency, some of the records we keep may be public records under Indiana’s Access to Public Records Act. When someone requests records, we release what that law requires and withhold what it allows us to protect, such as personal information.

How we protect it

Applications, members’ private contact details and call notes are encrypted when stored. Anyone who can see sensitive information must use two-step sign-in, access is limited by role, and views of sensitive information are recorded. The site only runs over a secure connection.

Children

Our website isn’t aimed at children under 13, and we don’t knowingly collect their information. Requests for school classes and car seat checks come from parents, teachers and organizers.

Your choices

You can ask to see, correct or delete information you’ve given us, unsubscribe from press emails with the link in any of them, and, as a member, turn call alerts and location sharing off in the app or in your phone’s settings. Some records we have to keep, such as records of calls and responses and what the law requires us to retain.
